Trinity Laban is committed to looking after any information that is made available to us when you visit our websites in accordance with data protection law.

Statement

This privacy notice applies to all Trinity Laban websites that link to this page. Please note that some sites related to Trinity Laban (such as Blackheath Halls, our subsidiary company) may collect and use data differently. These sites will have a local privacy notice explaining these practices. If the user leaves a Trinity Laban website and visits a website operated by a third party, Trinity Laban cannot be held responsible for the protection and privacy of any information that users provide when visiting such third-party websites. Accordingly, users should exercise caution and review the privacy statement applicable to the website in question. 


Personal data

You don’t have to create an account or provide us with any personal information to access Trinity Laban websites. However, we may ask for some personal details if you wish to access some of our services, for example:  

  • to register for open days;
  • to order a publication such as a printed prospectus; 
  • to subscribe to email marketing communications such as online newsletters; 
  • to use online chat functionality. 

 The vast majority of the personal information we hold about you will be obtained via our websites’ forms or if you contact us by email. 

 Some of the personal data we store and process may include: 

  • biographical information consisting of your name, title, birth date, age and gender; 
  • your contact details including address, email address and phone number; 
  • information about your time at the Trinity Laban;
  • your professional activities; 
  • current interests and preferences; 
  • records of communications sent to you by the Trinity Laban or received from you; 
  • attendance at Trinity Laban events. 

We may also collect and store bank card details. Trinity Laban is PCI DSS compliant. We do not store credit/debit card details after authorisation and till receipts are always masked. 

 When you provide us with your contact details you may be asked whether you wish to receive any further communications from us. 

 We will ensure that all personal data you supply is held in accordance with data protection law. We do not sell or otherwise transfer personal data to any third parties unless you have consented to this or this is permitted by law. 


Lawful basis and how we use your information

We may hold and process personal sensitive data that you provide to us in accordance with the DPA 2018 and GDPR. 

 We will use staff data for all purposes associated with the administration of the service provider /customer contract and relationships. The purposes for which we may use your data (including sensitive personal information) we collect during a customer’s association with us include: 

  • maintaining customer records 
  • administering finance (e.g. customer sales) 
  • providing services 
  • complying with statutory requirements (e.g. monitoring equal opportunities and processing and responding to subject access requests and information requests and complying with our obligations under our publication scheme)   
  • carrying out research, surveys and statistical analysis (including using third party data processors to carry out benchmarking and surveys for us) 
  • providing operational information 
  • promoting our services and other operational reasons on our website where appropriate, handling external business calls via our reception team and any enquiry service we may use and taking or commissioning photographs or films on campus or at TL events for promotional purposes) 
  • safeguarding and promoting the welfare of customers 
  • ensuring the safety and security of our customers 
  • preventing and detecting crime 
  • dealing with complaints 
  • carrying out audits. 

 The information that we collect and store relating to you is primarily used to enable us to provide our services to you, and to meet our contractual commitments to you. 

 If you have consented, we may use the information you have given to contact you with services and products that we can provide. 


Visits to Trinity Laban websites

When you visit any of the Trinity Laban websites the following information is received and stored by our web servers: anonymised details of your IP address, browser type and operating system; and the web pages you visited. This data is known as web server logs. We use this information strictly to analyse how the Trinity Laban websites are used by our visitors and we may archive this information in an anonymous form for historical records.

Email marketing

We are keen to communicate our activities, institutional views, latest news and points of excellence with staff, stakeholders, students, alumni and supporters. We do this by providing information through a range of online and offline channels including publications, events, press releases, social media and email. 

In order to do this we have a database that contains personal data collected by Trinity Laban during the course of our relationship with our stakeholders, staff, students, and alumni. We aim to keep your data up to date and welcome any updates to your details or corrections to any inaccuracies you may wish to provide. In addition, when you provide your personal data to a Trinity Laban Faculty, School or Department, you will receive further specific information from them informing you about the ways it will be used.  

We value our relationship with you and we use your personal data to personalise our communications, improve our services and ensure we work efficiently and effectively. If you are a member of the public subscribing to any of our email communications, and you have not previously purchased any products or services from the Trinity Laban, our legal basis to process your personal data will be your consent. 

Members of Trinity Laban of staff, students, alumni or others that have a pre-existing relationship with the Trinity Laban may receive such communication on the basis of the Trinity Laban’s legitimate interests. 

You can unsubscribe at any time by clicking the link provided in the specific communication, or by contacting the team providing the newsletter/communication.   

You have a right to request copies of the personal data held about you by tTrinity Laban. To make a request or to exercise any of your other data protection rights, please contact the Data Protection Officer (j.peel@trinitylaban.ac.uk) – read more about your rights. 

Unless you have requested otherwise, your data is accessible to Trinity Laban and its Faculties, Departments, and recognised alumni associations connected to Trinity Laban. It is used and processed for a full range of communications and programmes involving academic and administrative departments. These include the following communications and marketing activities (by mail, email and telephone):  

  • Sending Trinity Laban publications; 
  • Promoting our services; 
  • Notifying you of upcoming events; 
  • Promoting discounts and opportunities. 

Tools may be used to help us improve the effectiveness of our communications with you, including tracking whether the emails we send are opened and which links are clicked within a message. 

Lastly, we use data to undertake analysis projects to ensure only effective and relevant communications are sent to you. A list of suppliers can be provided on request. 

We utilise tools and resources to help us understand our stakeholders, staff, students, and alumni and gather information from publicly available resources (eg the electoral register, press, the charity register) to assess the capacity of these groups to support the Trinity Laban. 


Public social media data

Trinity Laban uses publicly available information, such as Twitter handles, URLs mentioned in tweets and hashtag usage, to target promoted content about Trinity Laban’s performances, programmes and research to social media users who have indicated an interest in topics relevant to our activities. This data is collected manually and through third-party analytics platforms that search for links and references to published research. 


Brand and reputation monitoring

Trinity Laban uses publicly available information, such as location data, names, user IDs, handles and other identifiers, photographs and published content on social platforms including review sites, message boards, media outlets, blogs and forums to monitor and respond to enquiries and content related to Trinity Laban. This data is collected through a third-party social media and analytics platform that searches for mentions and references to the Trinity Laban via public online platforms. 


Remarketing pixel

Trinity Laban uses remarketing tracking cookies and conversion pixels from vendors such as Google, Ecosia, Bing, StackAdapt, LinkedIn and Meta to present further communications to you about our courses and services, over the Google Content Network and via social networks. 

This means you may see an ad for Trinity Laban a result of visiting our website. In addition, Trinity Laban uses custom audiences based on demographic details provided based on emails and communications of prospective, current and past learners. This allows us to present specific, targeted communications to you via Meta, LinkedIn, Bing and Google. However, your personally identifiable information is not used by any remarketing service other than to present you with specific communications from us. We use the following third-party service providers for remarketing:  


Conversion pixel

Conversion pixels only become active when a conversion has been made. In Trinity Laban’s case, this may be when you complete an expression of interest form, application form or purchase a product such as a CPD unit or an item from the online store. The pixel is activated once you reach the confirmation page after you have submitted your details. 

This pixel allows us to receive clarify into the source of our conversions through advertising campaigns and measure the success or failure of marketing activity. 


Social media pixels (Tiktok, facebook, LinkedIn)

Social media pixels are a tool used by social networks by placing a code on Trinity Laban’s website, with cookies being used to track users who interact with any of our Facebook, LinkedIn, Twitter or TikTok ads and website. 

This type of pixel is a unique code that collects data and allows Trinity Laban to: 

  • Track social media ad conversions 
  • Build a target audience 
  • Optimize our ads 
  • Remarket to our website visitors 

Your rights

The DPA 2018 and GDPR give you the right to access information held about you by us. Below is a list of your rights as outlined by the legislation:  

  1. Right to be informed – You have the right to be provided with clear, transparent and easily understandable information about how we use your personal data and your rights. This is why we’re providing you with the information in this Privacy Notice. 
  2. Right of access – You have the right to obtain access to your personal data. This is so you’re aware and can check that we’re using your personal data in accordance with data protection law. 
  3. Right to rectification – You are entitled to have your personal data corrected if it’s inaccurate or incomplete. 
  4. Right to erasure – This is also known as ‘the right to be forgotten’ and, in simple terms, enables you to request the deletion or removal of your personal data where there’s no compelling reason for us to keep it. 
  5. Right to restrict processing – You have rights to ‘block’ or suppress further use of your personal data in certain circumstances. When processing is restricted, we can still store your personal data, but may not use it further. 
  6. Right to data portability – You have the right to obtain and reuse your personal data in a structured, commonly used and machine-readable format in certain circumstances. In addition, where certain conditions apply, you have the right to have such information transferred directly to a third party. 
  7. Right to object to processing – You have the right to object to the processing of your personal data based on our legitimate interests or on public interest grounds; the right to object to processing for direct marketing purposes (including profiling); the right to object to the use of your personal data for scientific or historical research purposes or statistical purposes in certain circumstances. 
  8. Right to withdraw consent – If you have given your consent to anything we do with your personal data, you have the right to withdraw your consent at any time (although if you do so, it does not mean that anything we have done with your personal data with your consent up to that point is unlawful). 

You have the right to exercise any of the rights described above at any time, and you must put this in writing. Please write to us by email if you wish to request confirmation of what personal information we hold relating to you. You can contact us at DataProtection@trinitylaban.ac.uk or j.peel@trinitylaban.ac.uk and specify what personal data you are requesting.  

 There is no charge for requesting that we provide you with details of the personal data that we hold. We will provide this information within one month of your requesting the data. Exceptions to timings may apply if large quantities of data are requested. 


Changes to this policy

We may update these policies to reflect changes to the website and customer feedback. Please regularly review these policies to be informed of how we are protecting your personal data.
